Challenge

Velox Mobility is an Albanian car rental operator with a fleet serving international travellers through partnerships with Discover Cars, Enjoy Travel, and other major booking platforms. With inbound demand growing through these partner channels, the operational pressure on a 9-person team was increasing fast.

Invoicing was handled manually - every transaction required human intervention, creating processing delays, reconciliation errors, and hours of administrative overhead each week. Customer support ran through direct channels, with no scalable way to handle the volume of common enquiries around availability, booking conditions, and rental logistics. And despite operating as a partner to international platforms, Velox had no professional web presence that matched the credibility those partnerships implied.

The gap between how Velox operated externally and how it operated internally was becoming a constraint on growth.

Solution

Over three months (January to March 2026), we delivered three interconnected systems designed to let a 9-person team operate at the scale of a much larger one.

Invoicing Automation

Replaced the manual end-to-end invoicing process with an automated system. Invoices are now generated, tracked, and reconciled automatically, with human review only where exceptions occur. This eliminated the processing errors and administrative backlog that had been absorbing significant team capacity every week.

AI Customer Support Agent

Built and deployed an AI-powered customer support agent trained on Velox's fleet, pricing, booking conditions, and partner integrations. The agent handles the full range of common customer enquiries - availability checks, rental requirements, partner booking questions, and policy clarifications - and escalates to the team only when human judgment is needed. This gave the team back hours every day without reducing response quality.

Professional Landing Page

Designed and launched a professional web presence positioned to reflect Velox's standing as an international-partner-grade operator. The site communicates the fleet, the partner network, and the booking experience in a way that converts and builds trust with travellers arriving via Discover Cars, Enjoy Travel, and direct channels.

Key Learnings

  • For growing SMEs, automation and credibility have to move together. Automating the back office without improving the customer-facing experience only solves half the problem - and vice versa. Velox needed both to unlock the next stage of growth.
  • AI agents for customer support require precise scoping. Defining what the agent handles versus escalates is the most important design decision in the build. Get it wrong and the agent either frustrates customers or creates more work than it saves.
  • Three months is enough time to transform operations when the scope is clear. The constraint is not speed - it is clarity of requirements upfront. Velox came in with well-defined problems, which is why delivery was clean.
  • Small teams in high-growth markets are one of the strongest use cases for AI-assisted automation. The leverage ratio is far higher than for an enterprise - and the results show up immediately on the bottom line.
